A failed photoeye on a packaging line does not give you much time to guess. If the label is worn, the machine builder used a private sticker, or the original BOM is outdated, knowing how to identify sensor part numbers quickly can save hours of troubleshooting and prevent ordering the wrong replacement.

For most industrial buyers and maintenance teams, the problem is not recognizing that a device is a sensor. The problem is narrowing it to the exact manufacturer series, output type, sensing range, connector style, and mounting format that make one part number correct and ten others unusable. In practice, sensor identification is a process of elimination. The more disciplined that process is, the faster you move from unknown device to orderable part.

How to identify sensor part numbers on the device itself

Start with the sensor body, not the machine documentation. Printed labels, laser etching, molded housing marks, and connector markings usually give you the fastest path to an exact part number.

On many sensors, the full part number appears on the side label or top face, but the usable information may be split across multiple lines. A label might show a brand name, a short model family, a date code, and certification marks together. The part number is often the alphanumeric string that looks the most structured. On brands such as Sick, Keyence, IFM, Omron, and Allen-Bradley, the ordering code may include a series prefix followed by characters that define sensing method, range, output, and electrical connection.

If the main label is damaged, inspect the threaded barrel, mounting bracket side, or connector end. Some manufacturers repeat the series code in a smaller location. M12 and M8 cordset connectors can also carry molded identifiers that help confirm brand family, although they usually do not provide the complete sensor number.

Do not confuse serial numbers, revision codes, or manufacturing lot data with the actual orderable part number. A serial number identifies one unit. A part number identifies the model you can buy again. If you are unsure which is which, look for a repeated pattern in manufacturer catalogs or compare the code length and format to other known parts from the same brand.

Read the part number as a configuration code

Many industrial sensor part numbers are not random. They are compressed product specifications. Once you recognize that, identification gets easier.

A single code can tell you whether the unit is photoelectric, inductive, capacitive, ultrasonic, or magnetic. It may also define diffuse versus retroreflective sensing, PNP versus NPN output, normally open versus normally closed logic, DC voltage range, sensing distance, housing material, and cable versus quick-disconnect version.

This is where experienced buyers save time. If the visible code appears incomplete, the physical device can fill in the gaps. A stainless cylindrical inductive sensor with an M12 threaded body, flush mount face, and 4-pin quick disconnect narrows the possible part numbers much faster than trying to search by brand alone. Likewise, a rectangular photoelectric sensor with teach button, visible red beam, and side-mounted M8 connector points to a smaller subset of models.

That said, do not assume visual similarity means interchangeability. Two sensors can share the same housing and still differ in output logic, sensing range, or connector pinout. For replacement buying, those details matter more than the outside shape.

How to identify sensor part numbers when the label is missing

A missing or unreadable label is common in washdown, heat, oil mist, and abrasive environments. When that happens, identify the sensor by its functional and mechanical characteristics.

Start with the sensing principle. If it detects metal only at short range, it is likely inductive. If it detects transparent packaging or labels with optics, it is likely photoelectric. If it senses liquid or nonmetal bulk material close to the face, it may be capacitive. If it reads longer distances with a larger front end, ultrasonic becomes more likely.

Next, document the housing. Record barrel diameter or rectangular dimensions, body material, threaded or smooth style, flush or non-flush face, cable length or connector type, and mounting orientation. Then note the electrical details from the machine side if the original wiring is still intact. Supply voltage, wire count, pinout, and PLC input behavior can tell you whether the sensor is PNP, NPN, analog, or discrete.

Indicator LEDs help too. Power and output LEDs can confirm whether the device is switching properly. Teach buttons, potentiometers, and selector switches often correspond to specific product families. Even the lens shape on a photoelectric sensor can narrow identification significantly.

At that stage, compare your findings against manufacturer catalogs, legacy BOMs, panel drawings, machine manuals, and purchasing history. In many plants, the best source is not the machine file. It is the last PO or storeroom bin label from the prior replacement.

Use machine documentation, but verify it

Bills of material, panel layouts, and OEM manuals are useful starting points, but they are not always current. A machine may have been retrofitted, a sensor may have been substituted during a prior emergency repair, or the OEM may have specified a series that has since been revised.

If the drawing says one thing and the installed hardware says another, trust the installed hardware first, then validate compatibility. This is especially important when part numbers have been superseded. A newer orderable number may replace an older one, but not every successor is drop-in compatible across all wiring and mounting conditions.

Private-labeled sensors are another complication. Some machine builders apply their own internal number instead of the original manufacturer code. In those cases, look for small molded logos, connector markings, or dimensions that reveal the underlying brand. Cross-referencing house numbers to original manufacturer numbers often requires support from a distributor familiar with multiple sensor brands.

The specifications that matter most

When you are trying to identify the right orderable sensor number, five data points usually do the heavy lifting: sensing method, electrical output, voltage, connection style, and mechanical format.

If any one of those is wrong, the part may not work even if the body looks identical. A PNP sensor will not behave like an NPN sensor in the same PLC input circuit. A cable version may not fit where a quick-disconnect was used. A non-flush inductive sensor can have a different sensing distance and mounting requirement than a flush version in the same diameter.

Environmental requirements matter too. IP rating, washdown resistance, temperature range, chemical exposure, and hazardous location approvals can all be embedded in the part number or attached to the series variant. For food, beverage, and process applications, these are not secondary details.

For photoelectric sensors, check whether the system uses diffuse, background suppression, retroreflective, or through-beam sensing. Those are not interchangeable by default. For proximity sensors, verify shielded versus unshielded style, target material assumptions, and sensing distance. For analog sensors, confirm output range such as 0-10 V or 4-20 mA before treating the device as a match.

How to avoid ordering the wrong replacement

The fastest way to identify a sensor number is not always the safest. In urgent maintenance situations, teams often search the visible code, see a similar result, and order immediately. That works sometimes, but it also creates avoidable returns and repeat downtime.

A better approach is to match the visible code to the application conditions. Confirm the brand, series, and full suffix string whenever possible. If the final characters are unreadable, use the installation details to reconstruct the missing configuration. Check connector position, output type, sensing range, and mounting thread before treating the match as exact.

If the original part is obsolete, compare the replacement's dimensions, wiring, electrical characteristics, and sensing performance rather than relying only on a manufacturer supersession note. Some replacements are direct. Others require bracket changes, cordset updates, or input logic adjustments.
